What you will do as a Service Coordinator:
- Order parts and supplies as needed, ensuring timely delivery and stock availability
- Receive, inspect, and organize incoming parts; verifying accuracy and completeness
- Maintain inventory levels, stock records, and conducting regular stock checks
- Coordinate the distribution of parts to technicians, other departments as required and keep parts room organized and clean
- Perform general administrative tasks, including data entry, filing, document management, billing, accounts payable and receivable functions; scanning and sending invoices, looking up invoices or work orders, and sending invoices or statements as requested
- Answer phone calls, respond to emails, and handle inquiries internally and externally in a customer focused manner
- Provide support to create, update or close service calls as required
- Communicate with customers regarding work being completed and ETA’s of completion
- Update appropriate system with inbound and outbound data related to trailers on rentals and repairs, update rental agreement and submit to customers, and driver shunt log,
- Enter new units in the yard into the map and review yard map daily for accuracy regarding reasons for units in service
- Schedule in-house repairs and ensure minimum downtime for mechanics
- Dispatch driver for pickups and deliveries
- Perform other duties as required from time to time to support operations
- Assist management with the implementation of health and safety initiatives within the workplace
- Assist Service Manager in obtaining customer approval for repair estimates and notification to proceed with repairs
- Assist Service Manager with scheduling mobiles to certain jobs and yards
Qualifications
- Two (2) years related experience and or training in the transportation industry; or equivalent combination of education and experience
- Previous parts counter experience and or training pertaining to Trailer parts
- Valid driver’s license with a clean driving abstract
- Ability to write routine reports and correspondence
- Ability to speak effectively with groups of customers or fellow employees
- Strong computer skills in Excel, and other Microsoft office programs
- Ability to calculate in all units of measure, using whole numbers, common fractions, and decimals
- Ability to compute rate, ratio and percentage calculations
